Resolved the issue with creating or accessing the AED document by updating the document template to display the migrated details of the student's State Assessment Accommodations on AED.

RelatedServices and SpecialEdServices Keyword Table Updates

Made the following changes to the Related Services keyword table:

  • Removed Adapted Physical Education.

  • Renamed Behavioral Support to Behavioral Support Services.

  • Added Psychological Services.

  • Added Social Work Services.

  • Added Counseling.

Made the following changes to the SpecialEdServices keyword table:

  • Added Adaptive Physical Education.

  • Renamed Written Language to Academic - Written Expression.

SPEDSM-90294

Special Education Notices

Updated the document templates available under the Special Education Notices category to display the latest parent or guardian contacts with education rights from the Student Contacts Part B profile while selecting the student contact as a meeting participant or person signing the document.
The system only updates the latest parent or guardian details on the documents in Draft mode. When the user re-opens the document, the system displays a message at the header of the page, indicating parent information changed. The user is expected to use the Update Document from Student Profile option to get the latest student content displayed on the document. The user must review the student contact details updated and do what is necessary to have the correct contacts selected on the document.
Once the document is set to Review or Final status, any contact details added or updated post that will not be updated on the document.

Age Out Document

Updated the Age Out document UI to include the LEA information and allow users to select the staff to be reached out to for queries. The document now shows the contact details of the selected staff. The wording of the document changes based on who holds the student's education rights, that is, the parent or guardian or the student.

Letter of Invitation Document

The wording of the Letter of Invitation document changes based on who holds the student's education rights, either the parent or guardian or the student. If the student has the education rights, the document does not show the parent or guardian selection list, and the letter will be addressed to the student.

IEP

  • When the user amends the IEP and adds the amendment date and new services, the IEP will now default the end date to auto-populate using one year minus a day from the IEP end date rather than using the IEP amendment date.

  • On the IEP Services page, the Dedicated Aids service grid will function like the Service grids above, where the amendment IEP will require the service end date to be one year minus a day from the original IEP date and not the IEP amendment date.

  • On the ESY section of the IEP, the service grid will function the same as the IEP services grid, where on an IEP amendment, the end date will default to one year minus a day from the IEP meeting date, not the amendment date.

  • On the IEP Services page, the Reason for the large amount of hours is displayed based on the number of hours. Any change to the frequency of a service on the page requires an auto refresh to recalculate the number of hours, which will then display the field when applicable.

  • Corrected an issue where the user attempted to finalize an amended IEP and received the following message: Check the dates added on the services page. End date cannot be prior to amendment date mm/dd/yyyy.

Prior Written Notice Exit Document

While using the Prior Written Notice - Exit document, when the user selects the exit reason as Graduation with a Regular High School Diploma, upon finalization of the document, the system will now have the Exit Reason and Special Education Exit Date on the Special Education Part B profile.

APR 5 and APR 6 Standard Reports

Made the following changes to the APR 5 and APR 6 reports:

  • Added a new report parameter, Count Date, with a single calendar control as required input to execute the APR 5 and APR 6 reports. It allows the user to select the count date. The report will show students' details from the SWD Count Summary Part B profile records, matching the Count Date the user selects to generate the report.

  • The reports show all SWD Count Summary Part B profile records matching that date, then select the children their age and LRECode values and student Grade in the SWD Count Summary Part B profile record.

  • The reports no longer use the Globals, Enrollment Audit Date to pull the student SWD count details. Instead, the report selection criteria will use the Count Date the user selects to generate the report.

  • If no students fall under the given LRE category, the reports will not list that LRE Code. For example, the APR 5 report includes five different LRE categories. All five LRE categories may not appear on the report if there are no students found under a given report category.

SPEDSM-85813

IEP Amendment, Special Education Part B profile, IEP Services Part B profile and Extended School Year profile

Made the following changes to the Special Education Part B profile and IEP document template for the Amendment date tracking:

  • Added a new field labeled Most Recent Amendment to hold the Amendment Date. The field on the profile is editable.

  • When an IEP Amendment document is finalized with parent or guardian approval, the IEP Amendment date will be updated on this field.

  • When an IEP document, not an Amendment, is finalized with parent or guardian approval captured on the document delivery section, the system will clear the IEP Amendment date in the Most Recent Amendment field on the Special Education Part B profile.

  • IEP, Document Delivery section, the system validates the Date of Delivery on the Document Delivery section of the IEP document (not amendment) to not be later than the IEP Meeting Date.

  • IEP, Services section, the user can add a maximum of 59 minutes in the Minutes field on the services grid, Duration column. If the service duration to be added is more than 59 minutes, the user should enter hours in the Hours field and the minutes in the Minutes field. For example, if a service duration is 90 minutes, the user shall enter it as one hour and 30 minutes using the Hours and Minutes fields, respectively.

Made the following changes to IEP Services Part B and Extended School Year profiles:

  • The IEP Service Type field on the IEP Services Part B profile is now mandatory to add or update a service record.

  • The Extended School Year profile, summary grid now lists the ESY records in descending order of the IEP Date. The ESY record from the most recent IEP Date will be listed at the top.

Updated the following document templates available under the Section 504 category to show the latest parent or guardian contacts with education rights from the Student Contacts Part B profile while selecting the student contact as a meeting participant or person signing the document:

  • Section 504 - Plan

  • Section 504 - Manifestation Determination Review

  • Consent for Initial Provision of Services

  • Student Input for Summary of Performance

  • Acknowledgment for Release of Information

  • Consent for Initial Evaluation/Reevaluation

  • Final Eligibility Determination Report

IEP and Legacy IEP Creation

Made the following changes to the IEP and Legacy IEP creation process:

When a new IEP is created, the system now validates if there is any previous PSSP IEP document template available. It thus gives the user an option to determine if the IEP being created is a recreation of a previously completed IEP in the previous system.

On the IEP document template, the system displays a message as Is this a recreation of a previously completed IEP in a previous system along with checkboxes for the user to answer as Yes or No. 

  • If No is selected, it will work as currently designed, and the user can create an IEP by completing all the sections.

  • If Yes is selected, the system will auto-populate all services from the IEP Services Part B profile and Extended School Year profile after saving the cover page. The system adds all the service details into the Services section and ESY section where the IEP Service Part B records have the same IEP meeting date or greater than the date indicated on the IEP cover page. 

  • When the IEP is finalized, the document will not flow the services on both sections of the IEP.

  • When the recreated IEP is amended, on finalization, the system will not automatically end the services but reflect the services that appear on the IEP services page and ESY page.

Part B Student Enrollment LEA Entry/Exit Import

Resolved the issue with Part B Student Enrollment LEA Entry/Exit Import failing to populate the EnrollmentSchoolID field.

IEP Speech Only

  1. The service labeled Speech Consult is no longer available in the Special Education Services, Consultation Services and Related Services drop down tables.

  2. The IEP document was changed for Speech Only IEP students. The cover page now has a new checkbox label is labeled Speech Only IEP.  Field is not required to be checked.  Label and checkbox are suppressed on print.

    When the Speech Only IEP checkbox is checked on the IEP cover page, then on the IEP Services and ESY Services pages, the only service type that will display is Special Education Services.  The Related Services and Consultation Services grids are hidden on the document. When the checkbox is checked and the page is saved, a message at the top in blue font displays as, Note: Speech Only IEPs will only display Special Education Services. Any previously entered Related Service or Consultation Service on this IEP will be removed and the grids will be hidden. When the Speech Only IEP checkbox is checked on the IEP cover page, the only service that can be selected and is valid is Speech/Language Only type that will display is Special Education Services and ESY sections. 

    When the Speech Only checkbox is not checked on the cover page, the user will not be permitted to save a Special Education Service with the service of Speech/Language Only on the Services & Supplemental Aids and ESY sections of the IEP. If the user selects Speech/Language Only, the user will see the following message, This is not a Speech Only IEP as indicated on the cover page. Speech/Language Only is not a valid selection.

    When the student has Educational Rights (indicated on Part B Demographics profile, Student Holds Educational Rights) is checked, when the IEP is created it will not auto insert the Independent Student Drop Off Consent Form as it is not applicable. In addition, the user will not be permitted to manually add the section when the student has educational rights.
