SPEDSM-129752

Updates to the Meeting Notes and Participants section of the IEP

• Removed existing signature areas and staff signatures from the IEP Meeting notes and participants section.

• Added a Notice of Implementation area below the participants' table.

• Configured the digital signature and ‘Parent will sign a paper copy’ options for specific IEP documents and sections.

• Excluded Notice of Implementation for the three meeting types (Initial Evaluation, Expedited Evaluation, and First Steps Transition) but included it for all others.

• Implemented a 10-day timer to send a message to the Teacher of Record if the parent's signature is not received.

Please Note: If you have an open IEP document in Draft or Review status, you will not be able to select the newly added section manually.

Keyword table updates for usage settings

• "InUse" is set to No for "inclement weather", and "(PT only)" is removed from "No Prescription (PT Only)".

• "InUse" is set to Yes for "TELEMEDICINE Therapy - Group" and "TELEMEDICINE Therapy - Individual".

Updates to the Service Plan document

• Added a Transition section in the Service Plan document.

• Added fields ‘Initial Eligibility Date’ and ‘Next Triennial Reevaluation Date’ when ‘Reevaluation Review’ is selected as the purpose of the case conference in the Service Plan document

Updates to the Evaluation Timelines profile and the Student profile

• When the referral reason is selected as ‘Reevaluation’, then ‘Eligibility Determination Due Date’ is now updated as the Annual Review Date of the initial/previous IEP.

  • The Annual Review Date is pulled in from the ‘Special Education Information profile’.

• The ‘Eligibility Determination Due Date’ field has been added to the Student Information profile.

  • This should be pulled from ‘Special Education Information profile’ (Initial Eligibility Due Date).

Updates to the Summary of Performance document

The system now allows the SOP document to be finalised without errors once the required information in the Transition section of the IEP (Employment Action Step, Employment HS, Action Step, Independent Living CB) has been completed.

Updates to the Transition section in the IEP and Service Plan document

• Strengths, Preferences, Interests, and Needs long text boxes have been changed to optional.

• Added a tool tip in red that says, "Utilise these boxes to include SPIN information if this was not completed in the Assessment Summaries."

Updates to the Transition profile, Special Ed Info profile and Summary of Performance document

• The Post-secondary Goals area has now been added to the Transition profile and to the Transition area of the Special Education Information profile.

• If the IEP and Service Plan documents are finalised, then the Post-secondary Goals area information flows from the IEP/Service Plan document to the Special Ed Information profile and then to the Transition profile and the Summary of Performance document.

Service plan dataflow updates

• Dataflows are executed from the Service Plan when both the IEP and the Service Plan exist, reflecting the latest finalised document.

• Added the dataflow from the Service Plan document to the following fields in the Special Education Information profile:

  • Initial IEP Meeting Date

  • Current IEP Start Date

  • Current IEP End Date

• Meeting types and plan types are updated to reflect Service Plan specifics, with conditions mirroring the logic of IEPs.

• Multiple sections (LRE, Transportation, Behaviour, IREAD, ISPROUT, Transition, Accommodations, Services) must flow data from the Service Plan.

• A cleanup script has been added to update profiles for Service Plans finalised from August 1, 2025, onward.

Updates to the IEP

If a parent rejects FAPE within the IEP, then there is no data flow between the IEP and any other profiles once the IEP document is finalised.

Updates to IS_IEP and IS_SP Formulas for Alerts

IS_IEP (Special Education IEP tag) and IS_SP (Service Plan tag) now remain applied even if a student falls out of IEP timeline compliance.
This ensures that the student is not excluded from Special Education program record creation, searches, and reports, and compliance issues can still be surfaced through error reporting.

Updates to Reevaluation Due Date

If the disability is Developmental Delaythen to calculate the Reevaluation Due Date, the system now considers the earlier of:

1. Most recent Evaluation Date plus 3 years or

2. The student's 9th birthday.

Updates to Disability area in the profile and documents

If the student’s primary disability is Speech or Language Impairment, then Secondary disability can only be Speech or Language Impairment with respect to what the Primary Disability is.

Updates have been made to the Accommodations Keyword Table to align usage flags and IEP indicators with testing requirements.

• TDS_TTSTracking1: In_Use = Yes (BIO, ELA, GOVT, MATH, SCI, SS)

• NEDS_HR3: Is_IEP = Yes (IREAD)

• TDS_AddDir_All: If IR=Yes & ELA=No → ELA=Yes

  • NEA_Braille, NEA_LP, NEA_SP → IR = No (use *_IREAD)

• InUse = No: BIOGB, BIOGM, BIOGA, BIOGV
