PowerSchool SIS Integration
This guide provides information for data elements that are written between PowerSchool SIS and PowerSchool Special Programs in order to mitigate dual data entry. The intent is to provide Special Programs data so that all state reports can be generated for PowerSchool SIS and PowerSchool SIS can autofill information into the Special Programs forms (such as student address information).
Data Exchanged between PowerSchool SIS and PowerSchool Special Programs
Demographic Data
PowerSchool SIS owns student demographic data (e.g., student name, gender, GTID). This data is imported into PowerSchool Special Programs using the Student Demographics import that can be generated manually or configured to run on a scheduled basis using the Data Connectivity Tool. This and other Import Layouts can be found by navigating to Administration > Configuration > Integration > Import Layouts using data source type PowerSchool SIS Rest API.
NJ SMART Data
PowerSchool Special Programs owns/maintains Special Education data (e.g., disabilities, referral and meeting dates, related services, Accommodations, NJ Smart data, etc.) and sends this information to PowerSchool SIS. The Special Programs data elements can be uploaded into the PowerSchool Student Information System, NJ Smart screen on a nightly basis. This file is broken down into four for faster processing.
NJSLA / PARCC Data
PowerSchool Special Programs owns/maintains Special Education data from the IEP, Determinations/Assessments and Accommodations Section. This data is uploaded into Power School Student Information Systems (SIS) for state reporting.
Reports
The following reports are available in Reporting > Standard Reports > PowerSchool Export. A scheduled task must be run to upload data to PowerSchool SIS comparing the data in PowerSchool SIS to the data in the export reports (PowerSchool Special Programs). If the data does not exist, the data will be added to PowerSchool. If the data exists, data will be updated.
12/2019 Note: PowerSchool NJ Export (S_NJ_STU_X) has been retired. New Jersey State Information 1/ 4 – 4/4 files will now process data to PowerSchool SIS. Scheduled tasks will need to be enabled at the district.

Understanding the Mapping Table
Each setup table may include some, or all, of the following elements. Reports will not display elements that are not pertinent to that report.
Breadcrumbs and Navigation – Navigation aid used to show the path to the data entry page as listed on the page in PowerSchool Special Programs. Each “>” indicates a new page or link, for example: Student > Profile.
Data Element – The name of the field as it appears in the state report.
Field Name – The name of the field where the data is stored, for example: {PrimaryDisability}.
Used in these Reports – The name of each report that uses the data element. This field may be populated with “Required Setup” or “Not Required” to indicate whether the data element should be configured for state reporting not specific to a report.
Student Import Layout (model) and Student Change Notification (model)
The following data elements will process field information from PowerSchool Student Information (PS SIS) to PowerSchool Special Programs (PSSP). The Student Import Layout (Model) and Student Change Notification (model) can be found in Administration > Integration. Data will flow from the Contact and Student Information and Parent Guardian Information screen into the student’s profile record, contacts 1-4, and disability records.

PowerSchool Special Programs own the following data elements and will be written back to PowerSchool SIS for state reporting. A report can be found that matches the state file under Reporting > Standard Reports > NJ SMART ADR Data Submission > NJ Smart ADR Data Submission report.

PowerSchool Special Programs Test Accommodation Integration with PowerSchool Student Information System
PowerSchool Special Programs own the following data elements and will be written back to PowerSchool SIS for state reporting on accommodations. Several fields in PARCC, NJSAA, and PNP are uploaded by NJ Smart, for example, so they are not included in this document. Only fields uploaded from PowerSchool Special Programs into PowerSchool SIS are displayed below.
Selection / Export Information
Students must be active with IS_SPED or IS_504 flags.
IS_SPED: EligibilityCategory not in (NotEligible) and (EligibilityCategoryYr2 not in (NotEligible) or EligibilityCategoryYr2 is empty) and (SpecialEdExitDate is empty or SpecialEdExitDate > CurrentDate())
IS_504: Profile > Eligibility Profile > 504 Participant. This field equals=Five0Four and exists(PR504, DayDifference(PlanReviewDt, CurrentDate()) < 364 and not Exit504)
IEP > Determinations/Assessment Section>State Assessment: NJSLA, NJSLA Science, or PARCC Accommodation check-box/drop-down)
Students must have a finalized IEP for data to flow to the Profile Screen.
Profile data is uploaded to PS SIS based on a scheduled task.
Section 504: Presently this data is not uploaded, as the 504 form does not present data in the same format as the IEP.
April 11, 2018 (SPEDSM-2100) Advisory call determined we did not need to change the 504 accommodation section from text box/look-up to the IEP checkbox format.
January 30, 2019: The Section 504 Accommodation Plan will be modified to add the IEP, District, and State Assessment grid shortly.
Extract Report
The extract can be found in Reporting, PowerSchool Export, PowerSchool, NJ Export (S_NJ_STU_X) and has been expanded to include the NJSLA/PARCC Accommodations.
The upload will place data into the appropriate PARCC accommodation screen in PowerSchool SIS. For accommodations without a drop-down, the system will send the appropriate PowerSchool SIS code as outlined below. All accommodations with a drop-down will be indicated in the appropriate field with the associated user selection as outlined below.
If English Language Arts (ELA) value is English only, report an "E"
If English Language Arts (ELA) and Math are both selected, report a "B" (Both)
If Math value is Math only, report an "M" or if Math and English are selected report "B" (Both)
