School Age IEP: LRE Section

Updates to Placement and LRE Section

We’ve made several improvements to the Placement page and the LRE – VIII. PENNDATA REPORTING: Educational Environment section of the IEP form to reduce errors and improve automation to calculate Percentage Category value and School Hrs based on Location

  1. Locations Profile

    • A new optional, editable field called “Total School Day Hours” has been added above “Instructional Time.” The field can be used to add/update the school day hours for the given School. This value will be used in the Category calculations on the LRE section of the IEP.

  2. LRE Section Enhancements

    • The LRE “VIII. PENNDATA REPORTING: Educational Environment” section will display once or twice on the IEP, based on placement records, with effective dates populated automatically.

    • Column 2 (Total School Day Hours) will automatically populate from the Locations profile when a building is selected on the Placement page.

    • Users may overwrite this value; if overwritten, an “Overridden” checkbox will be marked automatically. Future updates from the Locations profile will only occur if the building in the Placement section changes. Thus, the LRE section will be up-to-date with the School “School Building where the IEP will be Implemented” added to the Placement section and pulls the School Day Hrs accordingly.

    • If no value is added for the given Location > School Day Hours, then the user is expected to add the Column 2 value for the calculation of the Category.

    • The Percentage Category dropdown will now be auto-populated once the percentage is calculated.

  3. Validation in Section B

    • Users can now select only one facility (e.g., Approved Private or Other Public Facility).

Enhancement: New “Evaluation History” Profile

New “Evaluation History” Profile

We have introduced a new read-only child profile called “Evaluation History.” This profile automatically syncs data from the Eligibility profile to maintain a historical record of evaluations and reevaluations.

  • The profile is updated nightly to check for new evaluation or reevaluation dates, eligibility status, and changes to disability.

  • Each change is logged as a new row in the history grid, sorted by the most recent report date/Evaluation Report Date.

  • Records inserted by the system after the nightly script is executed will be non-editable for users.

  • The profile does allow for the manual addition of an Evaluation History record.

  • Key details shown include: Report Date, Type (Evaluation/Reevaluation), Next Due Date, Eligibility Outcome, and Disabilities (Primary, Secondary, Tertiary, Quaternary).

  • The profile is accessible to all users who can manage the Eligibility profile, with the same security privileges.

  • With this release, PSSP will execute a one-time script to pre-populate the profile with students’ Initial or Latest Reevaluations based on the details available on the Eligibility Profile.

This enhancement provides schools with a clear, chronological view of a student’s evaluation history for better tracking and compliance.

Invitation Letter

The system now allows invitation letters to be addressed to students who will turn 14 during the IEP duration, even if they are not yet 14 on the current date when the Invitation Letter is created. These students will now be correctly included on the Invitation Letter.

PSSP -PowerSchool SIS: Student Race Import

We have corrected issues with the PowerSchool Student Race Import model. The field mapping is now as follows:

  • Accepted values from PS SIS: A, B, I, W, P

  • If a student has multiple race values, the MultiRacial flag will be set to True

These adjustments ensure that race data is imported and mapped correctly.

Integration (PS SIS): Student Data Import

We have enhanced the Import Layout for Student Data to now include Student Email from PowerSchool SIS into the Student Demographics Profile in Special Programs (PSSP).

This enhancement automates the email import, reducing manual work and ensuring smoother, compliant digital signature workflows.

Integration (PS SIS): ELL Data

The integration between PowerSchool SIS and Special Programs now maps Field 41 – EL Status (S_PA_STU_X.LEP_ELL_Status_Code) to the LEP field on the Penn Data profile.

  • Value 1 or 6 in SIS → LEP = Yes

  • All other values → LEP = No

The PS SIS ELL status will be mapped to Demographics Profile > ELL field as is. This ensures accurate and consistent LEP status reporting across systems.

Integration (PS SIS): 504 Status

Special Programs will now automatically update Field 70 – ADA Status Indicator (504 Plan) [S_PA_STU_X]IS_504_YN in PowerSchool SIS based on student Section 504 status in PowerSchool Special Program.

This field is now included in the PS SIS Export > PowerSchool PA 504 Reporting (S_PA_STU_X) standard reports and configured on Export Layout

  • PSSP Integration will send “Yes”/True to PowerSchool SIS if:

    • The “Eligible under Section 504” checkbox ({Determ_CB1}) on the 504 Profile is checked
      AND

    • The Section 504 Exit Date is either empty or a future date

  • Send “No”/False to PowerSchool SIS if:

    • The student is not eligible under 504, i.e. the “Eligible under Section 504” checkbox is not checked, OR the 504 Exit Date is in the past.

SP Enrollment Profile Updates

The system now automatically manages the Enter Date of SP Enrollment profile records:

  • If the Special Education Start Date is after the first day of school, the Special Education Start Date (Eligibility Profile) will be used.

  • If the Special Ed Start Date is not populated on the student profile or it is before the first day of school, the start date will default to the first day of the school year(Global profile)

To maintain history across school years in the SP Enrollment Profile:

  • At the end of each school year, the student’s enrollment record will close on the last day of that year.

  • A new record will automatically be created for the new school year, starting on the first day of school, as long as the student remains in Special Education.

Only administrators can edit historical enrollment records. Other users can view past records but may update only the current record.

PIMS Special Education Snapshot EOY Report

The “PIMS Special Education Snapshot EOY” report criteria have been revised to comply with the 2024–2025 PIMS Manual (released February 2025). Students who are 14 years or older as of July 1 of the reporting year will now be included in the report.

School Age IEP: SY 2025-26 Updates

The IEP form has been updated to align with the latest state form changes effective July 2025. These updates will apply only to newly created IEP forms. All existing forms will continue to remain in the previous format.

The Resources Section has been removed from the two documents to match the State form available on the PaTTAN site. Changes will be applied only to newly created documents.

Gifted - Notice of Recommended Assignment

  • The system now provides an option with a checkbox on the form to allow the Superintendent to sign documents digitally when Digital Signature is enabled and the school has the required DS license.

  • If Digital Signature is not enabled or the school does not have a license, the checkbox to sign digitally will not appear.

  • The checkbox will not be checked by default on the form, so the Superintendent’s name and signature will be captured as stored on the Globals profile.

  • If the User checks this option, the Superintendent’s Digital Signature functionality will be applied automatically, and digital signatures can also be submitted for the Superintendent.

  • The Name and Address display at the top of the document has been updated for improved user interface and to list only parents/guardians who have ‘Receive Letters’ set to true.

  • The functionality is supported only on PowerSchool Digital Signature licensed environments.

  • The feature will be available only on the newly created forms after this release.

    • The existing NORA forms will not support the Digital Signature for the Superintendent.

SPEDSM-132690

2025-26: PIMS ACT16 Category Code Updates

Added the new ACT16 codes and descriptions to the keyword table as per the latest updates for SY 2025-26. All prior codes will be made InUse=No.

The PIMS profile, Category Set Code field will be defaulted to $1.00 - $5,394.78 Category 1A.

The previously entered codes remain unchanged in the PIMS and SP Enrollment profile. If any student does not have a code set before this fix, they will show the default Category code as $1.00 - $5,394.78 Category 1A.
