Deactivate or Reactivate a Staff Profile

After a staff member is no longer employed by the school district, the staff profile should be deactivated.  Deactivating a staff profile will have the following effects:

  • The staff profile will be visibly identified as “inactive” on any screen in which the staff profile appears.
  • The staff will no longer appear in search results unless the user explicitly includes inactive staff.
  • The staff member will no longer be able to log in, regardless of the login activation status.
    Note that deactivating a staff profile should not be confused with deactivating a staff login.
    • If a staff member works for the school district, the staff member may have an active staff profile but not necessarily an active login.
    • If a staff member is no longer working for the school district, deactivating the staff profile will prevent the staff member from logging in even if the login is activated.
  • Other users will not be able to send messages to an inactive staff profile.

Note that it is possible to deactivate multiple staff profiles at one time using the Deactivate Staff Profiles utility.

Deactivate a Staff Profile

  1. Search for and bring up the staff profile.
  2. Select Deactivate Profile from the More drop-down menu. If the option is not there, it is likely that you are not authorized to deactivate staff.
  3. To confirm, click Deactivate Staff. The system will display a warning informing you that the staff profile will be deleted after a specified number of years. If you proceed, the staff profile becomes inactive.
  4. Click OK to confirm the deactivation.

Deactivate Multiple Staff Profiles at One Time

  1. Select Administration > Utilities > Deactivate Staff Profiles
  2. Enter a formula that specifies the selection criteria for staff that should be deactivated. You will have an opportunity to confirm each staff within that selection criteria.
  3. Select the staff profile(s) you want to deactivate, and then click Deactivate Staff Checked Above to deactivate only the selected staff, or click Deactivate All # Staff to deactivate all staff matching the selection criteria. The system will display a warning informing you that the staff profiles will be deleted after a specified number of years.
  4. Click OK to confirm the deactivation.

Reactivate an Inactive Staff Profile

  1. Search for and bring up the inactive staff profile. In the Quick Search form, it may be necessary to check the Include Inactive Staff Profiles checkbox in order to include the inactive staff.
  2. Click the Reactivate button in the toolbar. If the option is not there, it is likely that you are not authorized to reactivate staff.
  3. To confirm, click Reactivate Staff. The staff profile becomes active.
