Deactivate or Reactivate a Student Profile

After a student has exited, the student profile should be deactivated. Deactivating a student profile will have the following effects:

  • The student will be visibly identified as “Inactive” on any screen in which the student profile appears.
  • The student profile will no longer appear in search results unless the user elects to include inactive student profiles in the search.
  • If the student or parent portal is in use, any student, parent, and/or guardian user(s) associated with the deactivated student profile will no longer be able to sign into the student/parent portal regardless of whether the login has been activated for any such users.

Note that it is possible to deactivate multiple student profiles at one time using the Deactivate Student Profiles utility.

Deactivate a Student Profile

  1. Search for and bring up the student profile.
  2. Select Deactivate Profile from the More drop-down menu. If the option is not there, it is likely that you are not authorized to deactivate students.
  3. To confirm, click Deactivate Student. The system will display a warning informing you that the student profile will be deleted after a specified number of years. If you proceed, the student profile becomes inactive.
  4. Click OK to confirm the deactivation.

Deactivate Multiple Student Profiles at One Time

  1. Select Administration > Utilities, and then select Deactivate Student Profiles from the Select Utility drop-down menu.
  2. Enter a formula that specifies the selection criteria for students that should be deactivated, and then click Continue. You will have an opportunity to confirm each student within that selection criteria.
  3. Select the student profile(s) you want to deactivate, and then click Deactivate Students Checked Above to deactivate only the selected students, or click Deactivate All # Students to deactivate all students matching the selection criteria. The system will display a warning informing you that the student profiles will be deleted after a specified number of years.
  4. Click OK to confirm the deactivation.

Reactivate an Inactive Student Profile

  1. Search for and bring up the inactive student profile. In the Quick Search form, it may be necessary to check the Include Inactive Student Profiles checkbox in order to include the inactive student.
  2. Click the Reactivate button in the toolbar. If the option is not there, it is likely that you are not authorized to reactivate students.
  3. To confirm, click Reactivate Student. The student profile becomes active.
