Accessibility Improvements for Progress Monitoring Graph in PSSP

The Progress Monitoring Graph produced in the PSSP has been recognized as lacking accessibility features. This issue has been addressed to guarantee that screen readers can read the graph.

Child Profile Tracking Columns and Duplicate Prevention

Child profile types that receive data from child templates include internal columns designed to track the source of each child profile. The columns are as follows:

  • DocTemplateIDT#

  • DocumentIDT#

  • ChildTemplateIDT#

  • ChildDocumentIDT#

These tracking columns play a crucial role in preventing the creation of duplicate child profiles during data flowback from documents.

Details:

  • Current Issue: Upon receiving a transfer envelope, the tracking columns are not populated in the receiving database. As a result, when a live document is created with child documents, new child profiles are generated, leading to duplicates.

  • Impact: This duplication results in inconsistencies and inefficiencies in the data.

Resolution: To prevent the creation of duplicate child profiles, the following changes are necessary:

  1. Envelope Creation in Source District:

    • The data for each document within the envelope should include a comprehensive list of all child profiles associated with that document, utilizing the original tracking columns (DocTemplateIDT#, DocumentIDT#, ChildTemplateIDT#, ChildDocumentIDT#).

    • This process involves iterating through any child profiles being transferred, identifying those linked to a document, and incorporating a specific child profile mapping tuple in the relevant document’s transfer data: {{ {ChildProfileTypeIDT, ChildProfileIDT, ChildTemplateIDT#, ChildDocumentIDT#}

      }}.

  2. Live Document Creation in Receiving Database:

    • The tracking columns (DocTemplateIDT#, DocumentIDT#, ChildTemplateIDT#, ChildDocumentIDT#) must be reinstated in the relevant child profiles.

    • The values for DocTemplateIDT# and DocumentIDT# will reference the current live document, while ChildTemplateIDT# and ChildDocumentIDT# will be remapped based on the values from the tuples described in the first step.

Digital Signature: Inconsistent signing information

Issue: When a signer opts out of a digital signature and a staff member completes the signing wizard on their behalf, the signer currently has no unique ID showing in the document, but does have a unique ID in the certificate of completion. This inconsistency needs to be resolved.

Resolution: For signers who opt out of digital signatures and have their signing process completed by a staff member, the Unique ID (token) will now appear neither on the document nor the certificate of completion.

Enhanced Attachment Inclusion for Document Data Copying

This release introduces a new feature that allows users to include attachments when copying data from existing documents into new ones within the system. This enhancement is designed to streamline the document management process and improve the user experience by ensuring that all relevant attachments are readily accessible in the new document.

Key Benefits:

  • Attachment Inclusion: Users can now copy attachments alongside document data when creating new documents from existing ones. This feature guarantees that all necessary supporting documents are included in the context of the new document.

  • Improved Accessibility: This improvement enables users to quickly identify and access attachments without having to navigate away from the main document view.

  • Efficiency Gains: The feature eliminates the extra effort of locating and re-uploading files for each new document, reduces the risk of missing or inconsistent data, and streamlining the overall document creation process.

New Email Notification Options for Document Signing Process

Users will now have two distinct options for configuring email notifications.

  1. Notify Initiator After Each Parent Signature:

    • With this option selected, the individual who initiated the document signing process (the Initiator) will receive an email notification each time a parent or guardian signs the document.

  2. Notify Selected Individuals Once After First Parent Signature:

    • When this option is chosen, a single email notification will be sent only after the first parent or guardian has signed the document.

    • This notification will be directed to the following designated individuals:

      • Initiator

      • Creator (the user who originally created the document or case)

      • Case Manager (if applicable)

Users have reported confusion regarding the instructions for the Group ID field when sending a Group Message.

To improve clarity, the instructions for the Group ID field have been updated to explicitly state the allowed characters and the maximum length. The new message clarifies that the identifier must contain only letters, numbers, and underscores, with a maximum length of 20 characters. Spaces and special symbols are not allowed.

The new message states: “The identifier must contain only letters, numbers, and underscores, with a maximum length of 20 characters. Spaces and special symbols are not allowed.”

Background Service Document Processing Failures

The background service is currently facing issues with processing certain documents.

The identified flaw in the service's code has been successfully resolved.

Digital Signature - Signatures are not shown on the PDF after completing the signing process

Issue: Users reported that completed signatures were not appearing on the PDF after the signing process.

Cause: It was identified that various document actions were not being prevented from executing during the signing process.

This interference caused the signatures not to be displayed correctly.

Resolution: The execution of the following document actions has been blocked while the signing process is active:

  • Modify Data When Document Opened

  • Modify Data After Update From Profile

These changes ensure that the signing process completes without interruptions, and signatures are correctly displayed on the PDF.

Easy Edit has an error when using digital signature directives, which has not been corrected to work correctly.

Error Received when sending Report Data as Messages

Users are encountering an error message when utilizing the "Send Report Data as Messages" feature, specifically when inactive staff members are involved. As a result, the system halts the message transmission. Moving forward, the feature will successfully send messages to all active staff members while automatically skipping any inactive members.

Improved Upgrade Experience for On-Prem Customers

On-Prem customers experienced redirection to a different URL during upgrades. Starting from version 25.6.0.0, a new configuration setting has been introduced. This setting allows On-Prem customers to bypass the transfer to the secondary login page if it causes any issues.
