Improved Signature Workflow for Paper Copy Signers
Overview: We have addressed an issue where the “Submit Signature” option was erroneously visible and accessible when users selected the “Will Sign via Paper Copy” option for a document.
Previous Behavior: Users who opted to sign a document via paper copy were still presented with the “Submit Signature” option, which caused confusion and the potential for misuse of the digital signature workflow.
What’s New: The “Submit Signature” button is now disabled when signing via paper copy. A tooltip is displayed to explain why the button is inactive.
Impact: This update enhances the signature experience by:
Preventing the submission of digital signatures when paper signing is selected.
Offering clear, localized explanations to users through tooltips.
Ensuring consistent and compliant document workflows.
Multi-Tenant Data Merging and Duplicate Student Handling in Advanced Reporting
A recent enhancement to the Advanced Reporting menu now allows users to merge data from multiple tenants into a single tenant. This new functionality complements the existing features of standard reports, providing a more streamlined and efficient reporting experience.
Key Improvements:
Multi-Tenant Data Merging:
Users can now select multiple tenants when generating reports through the Advanced Reporting menu.
The merged report consolidates data from all selected tenants into a single document, eliminating the need to view results separately for each tenant.
Duplicate Student Handling:
Users have the option to include or exclude duplicate students in their reports, even when inactive students are part of the dataset.
By default, when generating a merged report across multiple tenants, each student is listed only once, regardless of their presence in multiple districts.
State & Regional Controller - Hybrid Reporting
We’re excited to introduce Hybrid Reporting, a new capability designed to enhance comparative insights across districts. This feature allows configured reports to display both individual tenant (district) aggregates and statewide aggregates side by side, enabling users to easily compare local performance with state-level trends.
Key Functionality:
When all tenants are selected, hybrid-enabled reports will:
Show individual tenant aggregates.
Display statewide aggregates alongside each tenant’s data.
When not all tenants are selected, the statewide comparison columns will appear blank, preserving the integrity of the comparison logic.
Note: This feature is only functional when all tenants are selected. Partial tenant selections will result in blank comparison columns, as statewide aggregates require full data context.
Configurable “Reason” Field for Accepting Signatures
Overview: We’ve introduced a new global setting to improve flexibility when accepting existing signatures in the Signature Request Options.
Previous Behavior: Previously, when users selected the “Accept Current Signatures” option, a mandatory ‘Reason’ text field would appear. This requirement was enforced even for users who preferred not to provide a reason, leading to unnecessary friction in the workflow.
What’s New: We have introduced a new global setting—“Disable Reason for Accept Signatures”—which allows organizations to determine whether the ‘Reason’ field should be mandatory.
Setting Name: Disable Reason for Accept Signatures
Default State: Off (Reason field remains required)
When Enabled: Users can accept current signatures without needing to enter a reason.
Additional Notes:
The audit log will still capture instances where users opted out of providing a reason, ensuring both transparency and traceability.
This change simplifies the signature acceptance process while preserving audit integrity.
Configuration Option to Restrict 'Review' to 'Active' Status Change
A new configuration option, “Allow Only Final Documents to Be Active,” has been introduced to enable administrators to prevent users from prematurely changing a document’s status from 'Review' to 'Active.'
Action Required: Administrators are encouraged to review and update their configuration settings if they wish to impose restrictions on this status change.
New Global Setting for Automatic Conversion of Plan-Type Documents
Overview: We’ve introduced a new global setting to streamline the handling of plan-type documents during student tenant transfers.
Previous Behavior: When a student transferred from one tenant to another, plan-type documents (such as individualized plans or progress tracking forms) were transferred as static PDFs. Users were required to manually convert these PDFs into live document templates to enable editing, progress tracking, and reporting. If this step was missed, the data within those documents was excluded from reports.
What’s New: A new global setting—“Convert To Live Document”—has been added to automate this process.
Setting Name: Convert To Live Document
Default State: Off (manual conversion still required)
When Enabled: Plan-type documents are automatically converted to live, editable templates during student transfers.
Benefits:
Ensures plan-type documents remain active and editable.
Eliminates the risk of missing data in reports due to unconverted documents.
Reduces manual steps and improves data integrity across tenants.
The Role Caption in the window now displays the field value instead of static text. When selecting options in the Referral Committee Member List, such as Parent/Guardian or Other, the signer role dynamically reflects the chosen option, either from the keyword table or the value entered in a text box. Choosing the lookup option in the Referral Committee Member List displays the content of the Description(Help Text) field as the signer role, allowing for the inclusion of field names, formulas, or static text in the signer role display.
