Advanced Reports

Advanced reports are pre-configured in your database and allow you to produce complex state and federally mandated reports (e.g., those required for IDEA and NCLB). This topic explains how to run such a report and how to check for and correct data issues.

  1. Select Reporting > Advanced Reports. If this option does not appear, you do not have the necessary access privileges.
  2. Expand the category for the report, and then click the advanced report to open it.
  3. To view the report results, click one of the following:
    • Process Now: If the report processing cannot be scheduled, the Process Now button displays. Skip to Step 5.
    • Process Schedule:  If the report can be scheduled, the Process Schedule button displays. Continue to Step 4.
  4. On the Process Advanced Report page, select to run the report now or to schedule the process.
    • To run the report now, click one of the Process Now buttons. Background processing will continue processing even if you log out. Foreground process is the fastest but will take control of your web browser.
    • To schedule the report, select one of the Schedule Options, enter the schedule information, and then click Accept Schedule Changes.
      Recurring: Days of Week: Configures the report to automatically reprocess on the specified days of the week (on a weekly basis). Note that if the report ever reprocesses three times without any users accessing the report, then automatic reprocessing will automatically be shut off, and a message to this effect will be sent to the user who set up the schedule.
      Recurring: Day of Month: Configures the report to automatically reprocess on the specified day of the month (1-31). Note that if the report ever reprocesses three times without any users accessing the report, then automatic reprocessing will automatically be shut off, and a message to this effect will be sent to the user who set up the schedule.
      One-Time: On Date: Configures the report to run once on a specific date.
  5. If you processed the report in background, click the Processing Status link to display the percentage of processing completed.
  6. After the processing is completed, review the data for the report.
  7. To view a different section of the report, click the diagonal arrow next to the Select field to display the fly-out menu of sections, and then click the section to display.
  8. To print the report, click Print Section to print the section displayed or Print All to print the entire report.
  9. If you need to revert the report back to an unprocessed state, click Unprocess. This button displays after the report has been processed.
  10. If data was updated since the report was last processed and you need to update the report, click Reprocess.

Verify Report Data by Drilling Down

  1. Review the sections of the report and carefully check the numbers. You can click any count or aggregate to drill down and see the underlying profile data.
  2. After drilling down, click the Profile (contact) icon to view the profile or Testing (bug) icon to enable testing mode with that profile.
  3. If you corrected data in a profile, click Reprocess to run the reporting process again so the change is reflected in report counts and aggregates.

Use Testing Mode to Verify Data for a Profile

Testing mode allows you to see the reasons why the profile selected was not included in other counts or aggregates.

  1. Select the profile for testing mode. You can either:
    • Drill-down on a count or aggregate, and then click the Testing (bug) icon for the profile.

    • Click Test Profile while viewing the report. On the Test Profile pop-up, select to test either a student or staff profile, and then enter or look up the ID. Then, click Accept.

  2. Review the report to see the counts where the profile is included.
    While the report is in testing mode, text displays at the top of the report to indicate the profile you are testing. Any counts or aggregates that include the profile being tested are highlighted in green.
  3. If you expected the profile to be included in a count that is not displaying with green highlight, click the count or aggregate to see the reasons why it was not highlighted in red.
  4. To exit from the drill-down for a count or aggregate, click the report link in the Navigation trail.
  5. To exit testing mode, click the Cancel Testing link on the report page.
