Case Manager/Staff Caseloads - Removing existing students

To enhance data accuracy and streamline reporting, the system now automatically updates staff caseloads when students exit Special Education or withdraw from enrollment.

If a student has either a Special Education Exit Date or an Enrollment Exit Date effective today, they will be marked as "Exited" on the staff’s caseload for that day. A nightly scheduled job will then remove the student from the staff’s assigned caseload, updating the Staff Caseload profile accordingly. Additionally, the Case Manager field on the student’s Eligibility Information profile will be cleared automatically.

These changes help ensure that staff caseloads and search results reflect only currently active students.

Disability Eligibility Determination Forms

The following changes were made to all eligibility determination forms to allow or exclude parents/guardians/adult students from signing the form digitally.

  • The Global profile configuration “Exclude Student Contacts, Adult Student from Digital Signature” determines whether the parents or guardians, or adult student who participated via telephone, video conference, or other means will be excluded from digital signature submission.

  • The configuration is set to "Yes." By default, if the checkbox for 'Participate via telephone, video, etc.' is checked, the system does not include the parents or guardians or adult students participating by other means (not in person) for digital signature.

  • The configuration should be set to No for schools requiring parents, guardians, or adult students to digitally sign the document even when not participating in person (e.g., online, via telephone, and so on).

  • Once the global configuration changes, refresh the existing forms using the document options - More > Update from Student Profile.

  • The configuration only applies to parents, guardians, or adult students. All staff or Minor Students added as participants and attending the meeting can digitally sign the document, regardless of their attendance/ participation modes for the meeting.

IEP - Assessment Addendum

  • Corrected the system behavior to list Acadience Math (assessment from Grade 1) for the IEP being created for Kindergarten students.

  • On the Assessment Addendum section of the IEP, under the heading Participation Designation, different tests are available based on a student's grade level.

  • The system will consider the current grade level of the student at the time of the IEP's creation, and also consider what grade the student will be in for the whole calendar year that the IEP is active.

FBA and BIP

The BIP form section is updated to have long textboxes to add the Replacement Behavior. Along with Replacement Behavior, the textboxes under the Summary of Results section are also updated to stylized long textboxes.

IEP - Digital Signatures

  • Corrected the issue with Digital Signatures when an IEP is created by copying another IEP's data.

  • In the IEP document, once all participants complete their digital signatures, the signed document will display each participant's signature along with the corresponding signed date.

  • When a new document or a revision is created by copying a previously signed document, all digital signatures and signed dates are automatically cleared, ensuring signatures are only associated with the specific document version they were intended for.

  • When the newly created document is submitted for the Digital Signatures, all meeting participants will be able to sign the document electronically, and the system will capture the signature and date of signing accordingly.

Speech-Language Impairment Eligibility Document

The system now allows the Translator to sign the Speech-Language Impairment Eligibility Determination document when the translator is indicated as required (i.e., the related question is marked "Yes") and the translator is included in the Team Participants list.

The translator’s ability to sign is now independent of the Native Language checkbox selections, ensuring accurate documentation of participation regardless of language settings.

IEP - Summary of Performance

  • The system has been updated to save the Summary of Performance (SOP) Date up to the student's 22nd birthday.

  • The validation error in previous versions has been corrected—users can now enter an SOP Date up to, but not beyond, the student’s 22nd birthday.

  • If an SOP Date is entered after the student’s 22nd birthday, the system will display the following validation message:
    "The date the Summary of Performance will be completed cannot be after the student is 22 years of age."

  • This validation applies to both Original IEPs and Revisions.

On the Curriculum Dropdown, a new Curriculum set is added as “Core State Standards for Early Learning - Revised 2023“.

Consent For Disclosure

The Consent for Disclosure form has been updated to allow the Parent or guardian to choose appropriate consent responses while signing the document. While working on the document, staff will not be able to choose the consent response.
