Annual IEP Student Details

This report shows information about students based on their annual IEP review status. This report serves two purposes. The first is to monitor the completion of timely annual IEPs and detail the reasons for untimely completion. The second purpose is to alert staff as to how many days are remaining before the current IEP is due to be annually reviewed. The system will use the Plan History profile.

Submission requirements

The system will display all students (active and inactive) who have an IEP due date within the entered date range. The system will pull all students where IS_IEP is true and then Active/Inactive within the date range. An Active IEP student is defined as a student who has an enrollment with a start date {EnrollmentStartDate} less than or equal to the entered date range OR an exit date {EnrollmentExitDate} that is blank or greater than the entered date range. An Inactive student is defined as a student who has an Inactive status AND also an enrollment exit date that is within the entered date range.

Example:  The user may enter 7/1/2024- 6/30/2025 and the student’s enrollment start date is 9/4/2024 and the end date is blank.  This student would be considered an active student.

Generate report

  1. From the Reporting menu, choose Standard report.

  2. Click Part B Model Reports, then click Annual IEP Student Details.

  3. Enter a Start Date and End Date for the reporting duration.

  4. Click Update Report with Values.

If there is no middle name, it will not display the extra comma between LastName and FirstName.

Birthdate

The system displays the student's birth date.

Annual IEP Due Date

The system will display the annual IEP due date that is within the range. Plan History Part B where PlanType = IEP and {PlanEndDate} is within the range of the report.

Days until Annual IEP Due Date

Number of days from the current date (or today) till the Annual IEP Due Date.

The exact number of days is not displayed; in fact, it displays the range count based on the exact calculated number. For Example:

  • If Days until Annual IEP due Date < 10, then it displays “0-10 days”. 

  • Days until Annual IEP due Date = “11-20 days”. 

  • Days until Annual IEP due Date = “21-30 days”. 

  • Days until Annual IEP due Date = “31-40 days”. 

  • Days until Annual IEP due Date = “41-50 days”. 

  • Days until Annual IEP due Date = “51-60 days”. 

  • Overdue = The system will display Overdue, if the IEP end date is less than today and there is no new IEP in the system.

  • Annual IEP Complete = The system will display Annual IEP Complete if the IEP end date is greater than the report end date.

The system will display the latest Annual IEP date. Plan History Part B, where Plan Type = IEP {PlanMeetingDate}

Timely Annual IEP

Calculated based on the current date (or today) till the Annual IEP Date.

  • Timely - The system will display the value “Timely” if there is a historical IEP due date within the range and a new IEP date that is on or before the historical IEP end date.

  • Untimely- held late - The system will display “Untimely-held late” if an IEP Due date is within the range and a later plan history is also in the range and there is a gap between the current PlanMeetingDate and the prior record Plan End Date and exclusion type = Included.

  • Untimely- not held - The system will display “Untimely – Not held” if the report end date is greater than the IEP due date and there is no new annual IEP and exclusion type = Included.

  • Pending - The system will display “Pending” if the today’s date is less than the IEP due date and there is no new annual IEP and exclusion type = Included.

  • Excluded - The system will display “Excluded” When the exclusion type is Not Enrolled on Due Date, Insufficient enrollment, or Over Age.

Between LEA Flag

The system will display “Yes” when the student moves between LEAs. 

The system will display “No” when the student is not moving between LEAs

If a student withdraws and enrolls in a new LEA 60 days before the annual review date, it would be Yes

Current Stage 5 Enrollment

The system displays Yes, if the student is currently enrolled in Stage 5 in the LEA, else it displays No.

Exclusion Type

The system displays the below exclusion types

  • Not Enrolled on Due Date - The system will display Not Enrolled on Due Date if the student’s latest enrollment record has an enrollment exit date prior to or = to the IEP due date and the IEP timeliness!= “Timely”

  • Insufficient Enrollment - The system will display Insufficient Enrollment when a student withdraws and enrolls in a new LEA 60 days before the annual review date or if the student does not have at least 60 days of enrollment immediately prior to the due date and the IEP timeliness!= “Timely”

  • Over Age - The system will display over age, if the student is or will be aged 21, 60 days before the IEP due date and the IEP timeliness!= “Timely”.

  • Included - The system will display Included if Not enrolled on due date, Insufficient enrollment, or Over Age is false.
