Override Document Template Field Properties

Log in as a system administrator to set properties to multiple fields within a document.

  1. Choose Administration, then Configuration.
  2. Click Document Templates.
  3. Click the magnifier icon for the document template whose fields you want to modify.
  4. Click Field Properties.
  5. From Field Property, choose from the following:
    1. Required: Turn on this property to require the field to be filled in before the section can be completed.
    2. Auto-Notify to Review Acknowledge Document: Applies to staff fields only. Turn on this property to enable referenced staff to automatically receive a message notification (with link to document) to acknowledge the document when it is finalized. After this property has been applied to one or more staff fields, you can select Generate Acknowledgments List Report from the top-most More drop-down to create a list report of documents with columns identifying which expected users have acknowledged documents and which acknowledgments are outstanding. You can then modify the list report further by establishing selection criteria, adding additional columns, etc.
    3. Auto-Notify When Document Set to Review: Applies to staff fields only. Turn on this property to enable referenced staff to automatically receive a message (with link to document) notifying them that a document has been set to review.
    4. Auto-Notify When Document Set to Final: Similar to the preceding property, but the message will be received when the document is set to final.
    5. Audit Value Changes: This property is on for all document fields by default, but the administrator can turn it off to fine-tune the verbosity of data changes captured in the audit log as users edit documents.

      Checkboxes next to fields whose properties you can modify will appear highlighted in yellow. When the field property is already set, the checkbox will appear selected.

      Field properties that have been overridden will appear highlighted in pink.

  6. Click Save.

Log in as a system administrator to override field properties that have not been locked down.

  1. Choose Administration, then Configuration.
  2. Click Document Templates.
  3. Click the magnifier icon for the document template whose fields you want to modify.
  4. Click Field.
  5. Click the magnifier icon for the field whose properties you want to override.
  6. Click Edit Field Behavior Options.
  7. Select the Override Default checkbox and choose On or Off as needed.
  8. Click Accept.
