Use a List Report for Bulk and Batch Printing

You can use a list report to bulk or batch print selected records (for example, progress reports). You can then select the records to print using additional selection criteria or by selecting specific students.

Setup a List Report for Bulk Printing

  1. Select Reporting > Standard Reports.
  2. Click New List Report.
  3. In Report Name, enter a unique name.
  4. If you are creating a new public report, use the Optional Category field:
    • To add the report to an existing category, select the category.
    • To create a new category, select (new category), and then enter the category's name.
    • To display the report in the category for the information you are reporting, select None
  5. In the Type of Information field, select the information to include in the report. By default, Students is selected. You can change this to focus on Staff, Locations, etc.
  6. In the Selection Criteria field, define the formula for selecting the records to appear in the report. If additional fields display below the Selection Criteria text box, select the options as needed
    • To select fields based on where they display in PowerSchool Special Programs, click the Quick Formula link. When your formula is completed, click Update and Accept Formula
    • To build a complex formula that contains nested logic, use the Formula Editor.
  7. Click Accept. The report appears with a default set of columns sorted by name.
  8. Review the records returned by the selection formula. If the results are not what you expected, edit the selection formula. Only use Quick Formula if you need to replace the existing formula.
  9. When you have finished, click Finish Editing Report.

Bulk Printing Using Selection Criteria

Use this option when you want to use selection criteria to select the records you want to print. Using this option, you may specify additional selection criteria to further refine the results returned in the list report. For example, if you set up a report for Bulk Print Progress Reports using selection criteria that selected all students, you can use this option to print batches of student progress reports by grade, by class, or by teacher.

  1. On the report page, select More > Bulk-Print Setup.
  2. In the Sections to Print section of the setup page, select the sections to print. You can click Select All or select individual sections (for example, Progress Reports).
  3. In the Selection Criteria field, define the formula for selecting the records to appear in the report (required). If you want to include all records in the report and print the selected sections, enter "ID is not empty".
  4. In the Sort Formula field, click Select Field and select the field to sort by. Note: A name sort is automatically added. It is not necessary to specify a name sort.
  5. Select the Print Method.
    • Print profiles one at a time
    • Print profiles in one or more batches sized for your browser
  6. Click OK.

Bulk-Print Selected Documents

Use this option when you want to print documents for specific students. The selection criteria in the original report is used to create the list, and using this option allows you to select the individual students whose documents you want to print. For example, if you set up a report for Bulk Print Progress Reports, you can use this option to select specific students from the list of all students matching the selection criteria specified in the original report.

  1. On the report page, select More > Bulk-Print Selected Documents.
  2. In the list of records matching the criteria specified in the report, select the records to print. You can select to print all records in the header row, or select individual records for each record you want to include.
  3. Click Bulk-Print Student Documents Checked Below...
  4. Click OK to confirm that you want to bulk print the selected documents.
  5. In the Sections to Print section of the setup page, choose Select All or select individual sections (for example, Progress Reports).
  6. In the Sort Formula field, click Select Field and select the field to sort by. A name sort is automatically added.
  7. Select the Print Method.
    • Print profiles one at a time
    • Print profiles in one or more batches sized for your browser
  8. Click OK.
