Standard Reports

With standard reports, you can:

  • View underlying data.
  • Produce charts based on report data.
  • Export report data into other applications, like spreadsheet applications.
  • Create private reports that only the report's creator can access or public reports that can be accessed by multiple staff members.
  • Control access to public reports based on security group membership.
  • Subscribe to frequently used reports. Subscribed reports appear on the home page and can optionally be scheduled to be automatically sent to an Internet email account (on specified days of the week).
  • Define report parameters that allow an end-user to produce variations of a report using one or more menus without changing the definition of the report. A simple example would be a report where the end-user can select the grade level to generate a report listing students in that grade level.

There are two types of standard reports:

  • List Reports: List reports presents data with the option to customize how data is sorted, organized, and displayed.
  • Multi-dimensional Reports: Mult-dimensional reports count and analyze data across multiple dimensions and display the information in a tabular format. The outputs can include counts, averages, and other statistics.

View Standard Reports

  1. From the Reporting menu, select Standard Reports.
  2. On the Standard Reports page, click a category to display the available reports within the category. Alternatively, select a recently accessed report from the Select Recent Report section.
  3. Select the report name to open it.
  4. As needed, make changes to the report options to display the report output you want. The options available depend on whether the report is a list or a multi-dimensional report.

List Report Options

Change the Sort Order

If the report has fewer than 2000 rows, you can change the default sort order of the report based on most columns. Move the mouse pointer over the column header, and click the up or down arrows to change the sort order.

Filter the Report Based on Column Values

You can filter the report rows by values in most columns. Click the column header, and then select the desired values from the menu.

View Details

When viewing a list report, use the icons to view the profile or documents related to the record.

Bulk/Batch Printing

You can use a list report to bulk/batch print selected records. For example, progress reports.

Multi-Dimensional Report Options

Multi-dimensional reports show counts and additional statistics in either a tabular or chart format. The reports can have one, two, or three dimensions of data.

Show as Tabular Data or Chart

If the report has one or two dimensions, you can display it in either tabular data or chart format. From the Options menu, choose to Show as Data or Show as Chart

View Additional Data

Select any cell or bar to review additional details. Close the details window to return to the report.

Display Chart Data

From the tabular data format, select the title for any row or column to display a chart for the data in that row or column

Print Reports

  1. When viewing a standard report, click Print.
  2. Click Print this document and select your printer.
  3. Click Back to previous screen to exit printing mode.

Subscribe to Reports

By subscribing to a report, a link to the report appears on your home page. For list reports and multi-dimensional reports, you can configure the report to be sent to your email account on specified days of the week, which is useful for reports related to compliance.

Public list reports may support the ability to show the actual report data on your home page instead of a link, depending on how the report is designed. This functionality is available only for standard list reports and only the first 50 rows of data will appear on the home page. 

  1. Open the report you want to subscribe to.
  2. Click Subscribe
  3. In the Subscribe to this report? field, select Yes.
    • If the Home Page Options field displays, select the option for how you want to display the report on your home page. This field is only available for list reports that are designed to display results on the home page.
    • If the Email Options field displays, then the report is designed to allow you to be notified when data rows are returned for it. Select the days of the week that the system should check the report and send you an Internet email message when the report has any data rows. This field is only available for reports designed to support checking for data rows. 
  4. Click Set Options.

Send Report as Message

You can send a report to another user as a message.

  1. Select Reporting > Standard Reports.
  2. Click the link for the report to display it.
  3. In the More... menu, select Send Message with Report
  4. On the Send Message window, enter the message information, and select the users you want to send it to. 
  5. Click Send.
