Transfer IEP: Goals Section

The following changes were made to the section:

  • The Transfer IEP goals page now includes a Statement Bank icon in the toolbar, making it quicker and easier to insert pre-written goal and objective statements.

  • When amending a Transfer IEP, teachers can now mark individual goals and objectives as Mastered or Discontinued using new checkboxes.

  • A clear guidance message appears at the top of every goal page during an amendment, reminding users to indicate the status of each goal or objective where applicable.

  • When a goal is marked as mastered or discontinued, the system prompts the user to also update the status of each related objective, ensuring nothing is left incomplete.

  • Once a goal is marked as mastered or discontinued, new objectives can no longer be added to that goal.

  • Checkboxes and status labels are only visible on screen when checked, and only the label (not the checkbox) appears on printed documents.

Insert Statement Bank Feature

A Statement Bank feature was added to the IEP that allows IEP writers to create and save custom statements in a personal bank for quick reference when writing IEP content. The icon appears on the Goals, ESY, Post Secondary Transition, and Special Factors sections of the IEP.​

Users can add statements to the bank, creating categories for organization.  Clicking the statement icon displays a pop-up menu. 

Simply click on the statement which will auto-insert the statement into the applicable text box.

The IEP Amendment cover page no longer requires “Other” staff/names in the team members grid.

IEP - Alternate Decision

The following changes were made to the section:

  1. Regardless of the student’s grade or EL value, when the user checks the 3rd main checkbox, a new checkbox “I understand that my child will be assessed with the stateside alternate assessment based on alternative achievement standards”. The box must be checked.

  2. When the student is in grade Kindergarten, 1st, or 2nd, and the student is EL (as indicated on the IEP cover page, the following changes were made:

  • The 3rd main check box is suppressed.

  • The user must check the 1st or 2nd checkbox.

  • The user must check yes or no to all 4 questions regardless of box 1 or 2.

  • If any of the 4 yes/no questions are answered as No, then the alternate English Language Proficiency text is suppressed.

  • If all 4 yes/no questions are answered as Yes, then the text under the 2nd main text box will change to “The IEP team must answer ‘YES’ to all four criteria for the student to be eligible to participate in the Alt ELPA. If the answer is "NO" to any of the questions, the student must participate in regular statewide and districtwide assessments with or without accommodations.

    • The IEP team will determine whether an eligible student shall participate in the Alt ELPA.

    • Please refer to the Alternate Assessment Participation Manual for additional information.”.

  • If all 4 yes/no questions are answered yes, the Alternate Portfolio value for AELP will flow to the Special Education Information and Plan History profiles.

  • If any of the 4 yes/no questions are no, the Alternate Portfolio value will be NA and flow to the Special Education Information and Plan History profiles.

SPEDSM-144016

Special Education Information Profile

On the Special Education Information profile, we created a new header section titled "Service Plan Details". Added a new field labeled Has Active Service Plan.

The field is a single checkbox. Added a new field labeled Service Plan Meeting Date. The field is not required. Added a new field labeled Service Plan Due Date.

The field is a calculation that adds 1 year from the Service Plan Meeting Date. Data will flow to the fields once the Service Plan document is available in the program.

Special Education Information Profile: Updates

  • When selecting Kindergarten Eligible as the EC Exit Code, the EC Exit Date was updated to require June 30th of any year.

  • The system now blocks saving and displays a message if any other date is entered.

  • Added a note to the profile, reminding users that when Kindergarten Eligible is selected, the EC Exit Date must be June 30th.

  • The Special Ed Exit Reason field was moved above the SE Exit Date so both exit fields align better and are easier to read on the profile.

IEP, Transfer IEP, Migrated IEP: Updated AnnualIEPDue calculation

The AnnualIEPDue date calculation was updated across the AmendIEP, TIEP, and IEP templates to reflect exactly 365 days, removing the previous -1 day subtraction to align with ADE compliance guidelines.

IEP: Progress Report - Updates

  • Updated the sorting of the objectives to sort first by marking period date (most recent at the top), then by objective number.

  • To reset the objective order on the page, edit the page, then save.

  • When multiple objectives are recorded on the same date, they are neatly organized in numerical order so the information stays structured and easy to follow.

  • This updated order is reflected consistently on screen and in any printed or exported reports, so everyone from case managers to parents sees the same clear, organized view.

eSchoolPLUS - AR Student Enrollment Import

Removed the Enrollment Exit Date and Enrollment Exit Reason from the daily import to PSSP.

A future technical change will be made, which will re-add the 2 fields back into the import.

Indicator 5 - LRE School Age Advanced Report

Created a new report called Indicator 5 - LRE School Age, located in the Advanced Reporting area. Column A includes all students who have an LRE code of RG. Column B includes all students who have an LRE code of SC. Column C includes students with an LRE code of HH, RB, RI, DB, and DI.

The report includes all student’s (active and inactive) that have a Plan History profile with the IEP type of School Age IEP or School Age Post Secondary IEP where the Plan History IEP start and end dates fall within the 12/1 date indicated in the Globals profile (Special Education School Age (SY) Start Date and Special Education School Age (SY) End Date.

To run the report, click on the Process Schedule button and select Start and End date values. Select the Processing Method drop-down and select Process Report Now In Foreground. Click Process Now. The report will begin to process. The report will display each column with totals. Right-click and open a new window to view the student-level details.

Referral Profile and NOA Document

  1. Referral Profile

    1. A new field, “IEP Type” has been added under Parent Consent to Place that displays School Age IEP (SANOPS) and Early Childhood IEP (ECIEP). This field is used for the eSchoolPLUS Export report for School Age Program and Early Childhood Programs.

    2. If Parent Response to Initial Placement = Granted, selecting an IEP Type is required.

  2. NOA Document

    1. Initial Evaluation – No Response

      If the user selects: Initial Evaluation, and No Response in the Office Use Only section, upon finalization, the Reason for Completion will be set to Parent Refused Services, and Parent Response to Evaluate will be set to No Response.

    2. Initial Placement – No Response

      When the user selects Initial Placement and No Response in the Office Use Only section, upon finalization, the Reason for Completion will be set to Parent Refused Services.

    3. Plan Type Based on Age (Initial Placement Only)

      When the student is aged 3 years to 6 years 11 months as of the date the document is created, a label (IEP Type) and required dropdown will appear. The two values are School Age IEP and Early Childhood IEP. The field is suppressed in print. Upon finalization, the selected value flows to the student’s referral profile, IEP type field. When the student is age 7 or older as of the date the document is created, the field will not display, and upon finalization of the document, School Age IEP will flow as the default value to the student’s referral profile, IEP Type field.

IEP Goal Section

The following updates apply only when an IEP is amended:

  1. Objectives

    1. The delete (X) icon has been removed for objectives added before the amendment.

    2. Objectives can only be marked as Mastered or Discontinued.

  2. Goals

    1. Two new checkboxes are available at the goal level: Goal Mastered and Goal Discontinued.

    2. When either checkbox is selected:

      • The user is prompted to add the date the goal was mastered or discontinued.

      • A blue guidance message appears, indicating that the goal is mastered or discontinued, and indicates each associated objective to be marked as mastered or discontinued.

      • The Add Objective button is hidden (no new objectives can be added).

      • On print, only the label (not the checkbox) appears

Created a new keyword table called espprograms. 2 values. Both in use=yes. The SA keyword code and description are School Age Program. The EC keyword code and description are "Early Childhood program"”.

A new child profile named eSchoolPLUS Programs has been added with defined database fields and summary screen columns, and two writeback export reports have been updated to use this profile.

A new document template, Other [OTHERFO], has been created in the Other document folder section. Users can attach various documents and files to this generic file type.

Changed the functionality so that when the user checks the 3rd checkbox on the Assessment Decision page (student will participate in Arkansas Alternate Assessments), then each goal will require at least 2 objectives.

Administrators can add custom values to the Assessments504, AccommodationTypes504, and Accommodations504 keyword tables to enable customization of 504 documents for district needs.

Indicator 1 & 2 Graduation/ Dropout Advanced Report

A new report was created via Reporting>Advanced Reporting>Indicator Reports called Indicator 1 & 2 Graduation/Dropout.

The report will include all students who have one of the following Special Education Exit Reasons (on the student’s Special Education profile), where the student is age 14 to 21 as of the Special Education Exit Date (Special Education profile):

  • Alternate Pathway Graduate (PG)

  • Graduated with a Regular Diploma (GD)

  • Graduated with a Certificate (GC)

  • Dropped Out (DO)

  • Student reached Max Age (MA)

To run the report:

  • Click on the Process Schedule button and select Start and End date values.

  • Select the Processing Method drop-down, then Select Process Report Now In Foreground.

  • Click Process Now. The report will begin to process.

The report will display each column with totals. Right mouse click and open a new window to open the student-level details.

Plan History Profile

  1. When the Meeting Type is Initial, a required date field labeled “Parent Consent to Place” displays. This value will flow from the Referral profile to the Plan History profile when the user finalizes an active IEP, Temporary IEP, or a Migrated Amended IEP document where the meeting type is Initial.

  2. Added a new field labeled “Disability”. The field is required and displays for all records. Upon finalization of an active IEP, Temporary IEP or a Migrated Amendment IEP document where the meeting type is Initial.
