Service Record Enhancements

Several updates have been made to the Service Record UI and logic to improve usability, accuracy, and alignment with billing and documentation requirements.

Key Updates:

• Label Changes:

  • Service Types is now Service Provided.

  • Service is now Service Provider Role – This will auto-fill from staff profile roles, but remains editable.

• New Fields and Logic:

  • Added Additional Service Type (checkboxes as per screenshot).
    Note: Only one of Habilitative or Rehabilitative can be selected.

  • Added the Type of plan with 2 checkboxes for IEP and IFSP.

  • Added Type of Service Record (checkboxes as per screenshot).
    At least one checkbox is required; only one can be selected.

  • Added a Monthly Summary long-text field.
    Appears only if the Monthly Summary checkbox is selected in the Additional Service Type.
    Has this service been completed? is also checked, two records will be created – one for the Monthly Summary and one for Service Provided.

  • Early ON Service Component dropdown appears if:

    • The staff profile has Early On Service Component Billing checked.

    • Student is EO Eligible,

    • EO SpEd Rules is true, and

    • EO Special Ed Exit Date is before or on the Service Date.

  • Uses EarlyOnServiceCodes keyword table.

• Data Flow:

  • Has this service been completed? is checked, an EO Service Component record will be created and mapped from the Service Record to the Early On profile.

• Removed Fields:

  • Areas Covered and Progress Reports are no longer shown on the UI.

• Keyword Table Update:

  • ServiceTypeTable now includes admin-editable columns:

    • Code_Treatment, Code_Evaluation, Code_REED, Code_IEP, Code_IFSP, Code_PC, Code_EarlyOn, and others.

• Dropdown Filtering:

  • The Service Provided dropdown is filtered based on the selected Type of Service Record checkbox.

  • Each checkbox will display matching codes (e.g., Code_Evaluation for Evaluation/Testing).

  • For Early ON Only, the dropdown will show values only if staff profile has Early ON Billing checked.

• Provider Notes Requirement:

  • Provider Notes is now a required field for all Type of Service Record selections except:

    • Record-Keeping

    • Personal Care

Staff Profile Enhancements

Updates have been made to the Staff Profile screen to support Early On services, Medicaid billing, and multiple role assignments.

• Early On Checkboxes:

  • Added two new checkboxes:

    • Early On Billing

    • Early On Service Component

• Medicaid Billing:

  • Added a "Bill Medicaid" checkbox with Start Date and End Date fields to define the billing period.

• Multiple Role Assignment:

  • Staff can now be assigned two different roles by copying role details into the profile, allowing more flexibility in staff assignments.

  • In the Service Capture profile screen, staff or users are now required to select roles manually from the dropdown. Due to an application limitation, auto-population of roles is not supported for this screen.

Medicaid Information Profile – Monthly Filter and Script Update

Updates have been made to the Medicaid Information profile of the student to improve monthly tracking and data submission.

• A new section has been added below the "Medicaid Information" header to support monthly filtering.

• The update script has been modified to:

  • Pull only service records that fall within the months selected.

  • Set the Billing Submission Date to the current date.

Enhancements to Type of Plan and Service Types Management

We have introduced updates related to Type of Plan and Service Types management:

1. Type of Plan Enhancements

   • A new field “Type of Plan” has been added.

   • When the Type of Plan is selected as IEP or IFSP, and both the Type of Service Record and Additional Service Type checkboxes are checked, the values will now populate in the Service Provider dropdown.

   • If the Type of Plan is not IEP or IFSP, the Service Provider dropdown will not be displayed.

2. New Keyword Table

   • A new keyword table, ServiceTypesTable, has been created to manage service type references.

3. Staff Position Update

   • A new column, NewServiceCanProvided, has been added for Staff Position in the keyword table. This column references the ServiceTypesTable.

4. Field Replacement

   • The old field ServiceType_old has been retired and replaced with a new field called ServiceTypes.

   • During this replacement, only constraints were updated—no functional changes were introduced.

Staff Profile Changes - Service Capture

We have added the ability to assign two different roles to a staff member:

1. A second role can now be assigned by copying all details from Role #1 into a new column, Role #2.

2. The update script has been modified to ensure that when staff members have multiple roles, both roles are properly accommodated when they are assigned to a service.

Service Capture Profile Constraints

The Service Capture profile screen has been updated with new fields. As part of this change, some constraints have also been reviewed and enhanced:

1. Provider Notes Requirement

   • The Provider Notes text field is now required for all options under Type of Service Record, except for Record-Keeping and Personal Care.

2. Staff Role Constraint

   • A new constraint has been added: when Role and Role1 are selected, their values must match the Service Provider Role.

   • If they do not match, the system will trigger a warning when the staff member logs in:
     “Selected service provider role is invalid. Please select a role that matches the staff role.”

Service Records profile constraint - PT Prescription Required

When a staff user selects a service that requires a prescription, a constraint warning message is now displayed. This prevents the user from recording the service without the required prescription.

Replaced ServiceTypes keyword table in UAT with corrected and re-sorted values, including updated description identifiers for service categories (IEP, IFSP, Telehealth, Early On). Constraint renamed to “Need Prescription Details” and marked as non-custom.

• The filtering logic for "Service Provided" was successfully updated to depend on the selected Plan Type (IEP or IFSP), ensuring only valid codes are displayed based on the ServiceTypesKeyword table.

• The cascading dropdown dependency was enforced, with upstream changes automatically clearing downstream selections to prevent invalid combinations, aligning with the specified hierarchy.

• The instructional red text now appears only in Edit Mode, and is hidden in Read-Only Mode or when users lack edit permissions, reducing UI clutter.

• If the Early On Service Component checkbox within the Staff Profile of the provider associated with the Service Record is Checked, then the Early On Service Component dropdown is now visible and interactive in the Service Record.

• If the Early On Service Component checkbox within the Staff Profile of the provider associated with the Service Record is Unchecked, the Early On Service Component dropdown is now hidden from the Service Record UI.

• The helper text — “Early On Service Component should ONLY be selected when documenting EO service component for state reporting.” — is now displayed when the dropdown itself is visible.

Updates to 'Medicaid Eligibility by Month' Section

• The system now allows the user to select only the current month in the ‘Medicaid Eligibility by Month’ area.

• If a month is marked as Medicaid eligible, then all service records within that selected month receive the same Billing Submission Date, provided they also meet all other criteria defined within the update script.

• The Billing Submission Date now reflects the date the script is executed, not the actual service date.
