Districts can now configure and monitor auto-acceptance and auto-voidance of digital signatures on the selected document.
This feature includes:

Configuring how and when documents are automatically accepted or voided.

Tracking both pending and completed acceptance/voidance actions on documents through dedicated reports.
Together, these updates give districts stronger control over document lifecycle, compliance, and follow-up actions.
A document becomes Auto-Accepted when at least one of the designated signers has signed, and the document remains unsigned by the rest of the signatories until the cut-off date.
A document becomes Auto-Voided when the document remains unsigned by none of the designated signers until the cut-off date.
Configure the settings
District administrators can configure auto-acceptance behavior at the district level.

Go to the Administration Menu, select Configuration.

Then, in the Digital Signature Setting tab, scroll down to the Enable Auto-Acceptance/Auto-voidance option.

Default status is disabled.

In this situation, no further configuration is applied.

Select the checkbox to enable the option.
-
Once the checkbox is selected, another option, Days Until Auto-Acceptance.
-
The default value is set at 150 days.
-
Use the scroll list to configure the value.
-
You can select any number from the configurable range of 20 to 150 calendar days.

If auto-acceptance is not enabled, the report defaults to 150 days.

Users can enter the # of days for a “what if” scenario to see when a document would auto-accept if they turned the setting on in the Digital Signature Settings page.

How It Works

System performs Auto-acceptance status validation:
-
At least one of the designated signatories must have signed the document.
-
There is also an option to designate which signature would trigger the Auto-Acceptance.

System calculates Auto-Accepted Date

Auto-Accepted Date = Trigger Date + Configured Days
-

If the Auto-acceptance is disabled:
-
Document continues toward auto-voidance at 160 days
-
This ensures documents don’t remain indefinitely in incomplete or ambiguous states.
Monitoring Reports
Four reports are available to help track the document’s Auto-Acceptance/Auto-voidance status.
To access the reports:

Go to the Administration Menu, select Utilities.

Use the ‘Select Utilities’ drop-down list, and select the ‘Digital Signature Document’ option.

Select the ‘Option’ menu (top-right corner), scroll down to see the following four reports.

Pending Auto-Acceptance Documents.

Pending Auto-voidance Documents.

Auto-Acceptance Documents.

Auto-voidance Documents.

If the Enable Auto-Acceptance/Auto-voidance option is not selected, then:

The Auto-Acceptance Documents and Auto-voidance Documents reports are not available.

Within the Pending Auto-Acceptance Documents report, a field ‘# of Days Until Auto-Acceptance’ is shown.

You can select any number from the configurable range of 20 to 150 calendar days.

However, the default number of days is 150 calendar days.

This report lists the documents that are scheduled to be automatically accepted.
The report will show the following columns.
