Signature Date Auto-Population for the IEP, Private School Services Plan and Notice and Eligibility Decision

Updated the documents to automatically update the signature date for participants when a date is entered in the Special Education Teacher signature date field.

Applies to:

  • Individualized Education Program (IEP)

  • Private School Services Plan

  • Notice and Eligibility Decision

Key details:

  • Users can still manually edit or clear any auto-populated date (e.g., if a participant signed on a different day).

  • Manually overridden dates are preserved and will not be overwritten by subsequent changes to the Special Education Teacher date.

  • All auto-populated dates follow existing document validation rules.

Note: The parent signature date is not automated in this release.

FBA/BIP Document- Independent BIP Document Support

Updated the Alabama FBA/BIP document logic to allow case managers to create and finalize a Behavior Intervention Plan (BIP) independently, without requiring a completed Functional Behavioral Assessment (FBA) section.

What Changed:

  • Decoupled Finalization: The BIP section can now be edited and the document finalized without completing the FBA section. Previously, the BIP section was locked until the FBA section was completed.

  • Dynamic Document Labeling: Upon finalization, the system appends a label based on the completed section(s):

    • "FBA" – if only the FBA section is completed

    • "BIP" – if only the BIP section is completed

    • "FBA & BIP" – if both sections are completed

    • FBA Meeting Date Field:

    • The "FBA/BIP Meeting Date" field on the FBA section has been renamed to FBA Meeting Date.

    • The corresponding field on the Special Education Profile has also been renamed to FBA Meeting Date.

    • The FBA Meeting Date field is displayed on the BIP section as read-only when the FBA section exists and the date has been entered. If the FBA section is not included, the field is editable on the BIP section, with dataflow to the Profile occurring from this field.

  • New BIP Meeting Date Field: A new BIP Meeting Date field has been added to the BIP section, with dataflow introduced to a similarly named field on the Special Education Profile.

Service Plan- Minor Fixes

Updated the Service Plan for minor usability and compliance issues.

  • Annual Goal — "Area of Need: Other" text field
    When "Other" is selected as the Area of Need on the Annual Goal section, a text field now displays to capture the user-specified value.

  • Annual Goal — "Progress at Reporting Period" hidden in edit mode
    The "Progress at Reporting Period" field is no longer displayed while the Annual Goal section is in edit mode, reducing clutter during data entry.

  • Signature Page — Single parent requirement
    The Signature Page now requires only one parent signature instead of multiple, aligning with Alabama state requirements.

AL: Gifted Participation Status Keyword Update

The "Other" option has been removed from the Gifted Participation Status keyword table.

  • The "Other" keyword option is no longer available for selection in the Gifted Participation Status field.

  • Existing records that previously used the "Other" keyword are unaffected; the associated text field remains hidden in the interface but is retained for historical data integrity.

  • No action is required by end users. Districts that did not use the "Other" option will see no change in behavior.

New: Alabama Section 504 Evaluation Request Form

A new Section 504 Evaluation Request document has been added to the Alabama model, providing a state-compliant form that initiates the 504 evaluation process for students with a suspected disability.

Key Features:

  • Auto-populated student information — Student Name, ID, DOB, School Year, Serving School, and Grade are automatically populated from the student profile.

  • Referral source capture — Includes fields for the person making the referral and their relationship to the student. When the referring staff member has a Position on file, the relationship field auto-displays that position; otherwise, a free-text entry is provided.

  • Structured evaluation request fields — Five required long-text sections document the reason for referral, suspected impairment, impacted major life activities, intervention history, and supporting information.

  • Administrative tracking — A required date field records when the request was received by the Section 504 Coordinator.

AL: Section 504 Eligibility Document Changes

The Alabama Section 504 Eligibility document has been updated to align with state-specific requirements.

Changes include:

  • Added Date of Notice and School Year fields to the student header (no dataflow required; School Year populates via default value).

  • Updated student header formatting to accommodate the new fields and align with the Alabama reference document.

  • Updated the Meeting Participants section to display guidance text: "Team members should include persons knowledgeable about the student, the meaning of the evaluation data, and options for accommodations."

  • Added correlating text to the Summary of Evaluation Information section indicating it should directly relate to "Identified Student Needs" on the Plan and Parent Permission form.

  • Replaced the Sources of Evaluation checkboxes with a long stylized text field (consistent with IEP and Service Plan formatting).

  • Updated eligibility Question 3 to include language regarding ameliorative effects of mitigating measures.

  • Updated eligibility Question 4 to reference accommodation(s) to policies, practices, or procedures.

  • Removed the Parent Contact Grid.

  • Removed the Health Care Plan question.

Set Special Education Profile from Special Ed History Update Script Modification

The "Set Special Education profile from SPED_History" update script has been updated to include students whose IEP start date equals the current date. Previously, the script only updated the Special Education profile for students with an IEP start date prior to the current date.

With this change, students whose IEP start date is less than or equal to the current date will now have their Special Education profile updated accordingly, ensuring they are marked as active on the effective date of their IEP.
