Document Updates for Legal and Preferred Name

We have introduced the ability to use a student’s preferred name in select document templates. Users can choose between the student’s legal or preferred name when working in supported documents.

A “Use Student’s Preferred Name” checkbox appears when the document is in Draft or Review status. When selected, the preferred name will be applied consistently within supported sections of the document.

Supported Documents in This Release

Preferred Name functionality has been implemented for the following documents:

  • Evaluation Planning (including Evaluation Planning – Prior Written Notice / Initiate sections)

  • Evaluation Report

  • Individualized Education Program (IEP)

  • Prior Written Notice – Revocation of Consent

Where Preferred Name Appears (Supported Documents Only)

Within the supported documents listed above, the selected student name (Legal or Preferred) appears in applicable areas, including:

  • Document header (student name)

  • Name and address sections in letters and notices

  • Embedded references to the student’s name

  • Student signee name

  • Team member and participant lists

  • Digital signature sections

Important Notes / Limitations

  • Preferred Name functionality is currently limited to the documents listed above.

  • Not all document templates or sections support this functionality at this time.

  • Additional templates and expanded section coverage are in development and will be included in a future release.

Eligibility Count of Days Update

To ensure compliance with OSPI reporting, we've updated the NumberofDaystoEligibility calculation in CEDARS File U to treat the Consent Date as "Day 0" and accurately account for school session days.

If the timeline exceeds 35 days, the system will display a message prompting the user to provide a reason for not meeting the required timeline.

IEP Amendment: Case Manager Display

To ensure revision documents use the most current staff assignments, the system now pulls the Case Manager directly from the student profile into the IEP Amendment section. The Case Manager field will be pre-populated and remain editable for staff.

For districts that prefer not to pre-populate the Case Manager on revision documents and instead require staff to select the Case Manager manually, administrators can disable the "Set the Current Case Manager Value in Revision Doc" action. When disabled, the Current Case Manager field will remain blank on the initial revision and must be completed by staff.

Fixed the ‘Missing’ Student Name issue in WA5044 Document

To ensure student names always appear correctly on finalized WA5044 documents, we've implemented a fix that automatically populates missing name fields and added a new "Preferred Name" toggle for even greater flexibility on documents created after this release.
